Broadstreet RFC Venue Hire: Frequently Asked Questions

Key booking, catering, licensing, entertainment, and venue rules for clubhouse hire.

How do I secure my event date?

Dates are held provisionally for 14 days. A signed contract and a non-refundable deposit are required to secure your booking.

When is the final balance due?

The full remaining balance must be paid exactly 28 days before your event.

What happens if I need to cancel?

Cancellations must be submitted in writing. If you cancel less than 28 days before the event, 100% of the hire fee remains payable.

Can I bring my own external caterers?

No. All food and refreshments must be provided exclusively by the Club's in-house kitchen team.

Are there minimum catering headcounts?

Yes. Bookings in the Main Room require a minimum catering order for 60 people. All other function rooms require a minimum order for 20 people.

Can we bring our own alcohol or wine?

Generally no, but corkage options are negotiable. Please speak directly with the events team to discuss terms and fees before your event.

Can the Club provide celebration cakes?

Yes. The Club can provide occasional cakes for your event. Please discuss your design and flavour preferences with the events team when booking.

What time does the bar close?

The bar closes strictly at 11:00 pm under standard booking terms.

Can I apply for a late bar license?

Yes. Bar extensions are available upon request, subject to management approval.

Is there a cost for a bar extension?

Yes. Extending the bar operating hours carries an additional fee starting from a minimum of £100.

Does the Club provide sound equipment?

Yes. The Club can supply a high-quality music boom box for your event at a hire charge of £50.

Can I hire my own DJ, band, or decorator?

Yes. However, all third-party suppliers must provide proof of Public Liability Insurance (PLI) to the club before the event.

Are there restrictions on electrical equipment?

Yes. Any electrical items brought onto the premises by performers or guests must be PAT tested.

How can I decorate the room?

Decorations are welcome, but you cannot use nails, screws, or heavy adhesives that could damage the venue walls or fixtures.

Is there parking available on-site?

Yes. The venue features a substantial, free on-site car park for all event attendees.

Is the clubhouse wheelchair accessible?

Yes. The ground floor of the clubhouse features full wheelchair access and dedicated disabled facilities.

Can guests go onto the rugby pitches?

No. For safety and ground maintenance, guests and children are strictly forbidden from entering the playing pitches.
